A Fast File Workflow for CSC and Digital Service Centres: Photos, Signatures and PDFs

When you handle many customer files every day, the biggest source of confusion is often the workflow rather than the tool. Separating originals, working copies and final outputs reduces mistakes and speeds up repeat work.

Use a three-stage workflow

  1. Original: the untouched file received from the customer.
  2. Working: a temporary copy used for cropping, resizing, compression or editing.
  3. Final: the verified file prepared for portal upload or printing.

This structure reduces the chance of uploading the wrong file and lets you restart from a clean source when something goes wrong.

Use simple filenames

Avoid random messaging-app filenames. Use names such as customer-photo-final.jpg, customer-sign-final.jpg and customer-doc-final.pdf. Do not put unnecessary sensitive identifiers in filenames.

A practical tool order

Photo: crop → pixels → KB → preview. Signature: trim white space → dimensions → KB → preview. Document: crop/straighten → improve readability → page order → PDF → compress → final open check.

Clean up after the job

  • Delete temporary scans and screenshots.
  • Check the WhatsApp Web Downloads folder.
  • Remember that the browser download list is not the storage location; clean the actual folder.
  • After delivering the final file, remove unnecessary copies according to your business retention policy.
  • Keep only necessary business records in backups; avoid archiving identity documents without a reason.
